If you are planning to attend a conference in the USA as an international participant, you need to apply for a B-category visa, specifically a B-1 visitor visa. This visa is intended for individuals seeking to enter the U.S. for business purposes, including attending conferences, seminars, expos, or professional training programs. However, if you are a citizen of the VWP countries, you can join our international conference in the USA without applying for a visa.

How Do You Apply for a B-1 Category Visa?

Whether you are traveling to attend a business meeting, conference, trade show, or professional training program, you need to go through the visa application process using the official website of the U.S. embassy. Here is the step-by-step process for applying for a B-1 category Visa:

First, prepare your necessary documents like a valid passport, Nonimmigrant Visa Application form (DS-160), photograph with the required format, bank statements, and evidence of your employment or source of income.

Next, you can include a supportive document like an invitation letter from the conference organizer. Sometimes, you may have to submit an application fee payment receipt with these documents if you have to pay before the interview.

Finally, Once you have submitted all the documents through the U.S. embassy website, it is time to schedule your interview with the U.S. embassy or consulate officer. Before that, print the application form (DS-160) and attach all the documents as a hard copy. Be prepared to answer questions about your trip, your purpose for visiting the U.S., and your plans to return home in the interview session.

Visa Waiver Program (VWP)

You no longer need a visa to attend a conference in USA if you fall under the Visa Waiver Program (VWP) category. Even if you need to stay longer, let’s say up to 90 days, you can stay without a visa. Instead of a visa, you need to get an Electronic System for Travel Authorization (ESTA) for your travel. However, not everyone from the VWP countries can get the same advantage.

According to the Visa Waiver Program Improvement and Terrorist Travel Prevention Act of 2015, travelers from the VWP countries cannot have this advantage if they have visited or have been present in some restricted countries since March 1, 2011. Those countries are the Democratic People’s Republic of Korea, Iran, Iraq, Libya, Somalia, Sudan, Syria, and Yemen. 

So, you need to review the VWP eligibility requirements and restrictions before making travel plans. If you have visited any of the restricted countries, you may need to apply for a traditional visa instead of using the VWP.

How to Apply for Electronic System for Travel Authorization (ESTA)

If you are from a VWP country and eligible to get the benefit, you need to apply for the E-authorization by visiting the ESTA official website. Then, complete the application form by providing your personal information, such as your name, address, phone number, passport number, national ID or personal ID number, employer contact and phone number, etc.

Once your ESTA application is approved, you will receive authorization via email. This authorization is valid for two years or until your passport expires. From the date of your authorization, you can make multiple trips to the United States within the validity period.

Minors to Visit the International Conferences in USA

Since our conference is open for all ages, many parents want to bring their kids with them. According to the U.S. Department of State, children under 14 are considered minors. In that case, their parents may apply on behalf of their children, but they must submit their application during the parent’s visa interview. However, minors do not have to face the interview.
